Position Overview
Project Administration - Maintain complete and up-to-date project files, shipment records, and client documentation.
- Create and update jobs in the F&E system and ensure milestones are accurately maintained.
- Support the project team in tracking timelines, deliverables, and key activities.
- Coordinate internal communications between Operations, Warehouse, Transport, and Finance.
- Arrange meetings, prepare minutes, and monitor follow-up actions.
Documentation Control - Ensure accurate creation and maintenance of job files within the F&E system.
- Prepare and verify shipping documents, permits, carnets, and customs documentation (where required).
- Ensure full compliance with company SOPs and event-specific procedures.
- Maintain proper digital and physical filing with version control.
- Track document submission deadlines for time-critical shipments.
